The PF Administrators contribute to the smooth running and administration of the support services required to offer an efficient and values-based professional counselling service. This post includes administrative support for the ‘PF Young Adults’ (PFYA) Service, which operates on a Saturday.
Working alongside the Operations Manager and other Administrators in our busy general office, the Part-time Administrator is responsible for liaising with clients and counsellors, as well as processing administrative information relating to counselling sessions. They will also be one of the primary administrator for our PFYA service. The role includes:
- recording and processing client communications, including overseeing the management of the appointments diary,
- liaising with clients and counsellors by phone, email and in person,
- providing regular PFYA administrative support in the office on a Saturday, alternating with the other Part-time Administrator,
- liaising with the Director and Operations Manager regarding all aspects of the administration of the service.
This role is shared with another Part-time Administrator so includes the delivery of an effective handover to ensure seamless co-ordination between the two part-time roles. Flexible working arrangements can be discussed and will be accommodated where possible, but the core requirement is to work Mondays, Tuesdays, Wednesdays and alternate Saturdays.
Office cover is shared between administrative staff and volunteer receptionists (currently on hold due to the pandemic) during the operating hours of the PF Counselling Service, which are 8.00am to 9.15pm Monday-Thursday (5.15pm closing on Fridays) and 9.00am to 5.00pm on Saturdays. Occasional evening cover may also be required.
A clear and effective telephone manner is essential, as is a proven ability to keep on top of a fast-moving workload. The post requires a working knowledge of Microsoft Office and is subject to Basic Police Act Disclosure checks. Finally, a cheerful, helpful and flexible attitude is important as the three office staff work closely together and support each other at times of peak workload.
