A brilliant, dynamic, enthusiastic,
hard-working and likeable Manager will be pivotal to the future
of the PF Counselling Service!
We are looking for someone who cannot only
keep all aspects of the service running smoothly like a well-oiled
machine, but who can also help us to develop, improve and grow
over the next few years.
The role
focuses on managing
the office systems and overall administration which enables around 150
clients to meet with over 60 voluntary counsellors for individual
counselling sessions each week. This involves all you might
imagine, and more - diaries and room allocations, client and counsellor
record keeping, managing the money that clients give in donations or as
payment for 'Fast Track' sessions, dealing with enquiries and
applications for counselling, setting up appointments for new clients,
and recording progress and evaluations.
But you
are not alone! As well as a full-time paid
Administrative Assistant, we make good use of a small team
of volunteer receptionists, most of whom do one or two 3-hour sessions a
week and provide the reception cover until 9.00pm. It will part of
your role to manage this team, including building and maintaining it
through recruitment and training.
Of
course, the Director and Board need management statistics and financial
accounts on a regular basis, and it will be your job to present these in
a clear and timely manner. However, the actual book-keeping is
done by an experienced senior volunteer, so it will be a matter of
managing this resource rather than actually doing the books. Likewise,
the IT systems need to be kept up-to-date and working smoothly,
including the client management database and other office software, a small network or four machines, telephones, internet etc.
The more 'in house' skills we have to help maintain this the better, but
this can also be 'bought in'.
Our
premises
within the Eric Liddell Centre require the usual level of care for
cleanliness and health and safety, but we also strive hard to make them
welcoming and conducive to the purpose for which they are being used.
This can be difficult at times in a busy and active community centre and
it is because of this, and the pressure to grow the service, that we are
actively looking for new premises to move to.
Finally,
it has been the Director's passion over the past two years to grow and
develop the service. She is looking forward to working closely
with the new Manager to find new and exciting ways to improve
services, raise funds, get more done and do it better!
